The Challenge

When tracking is not enabled, Business Central allows the posting of sales invoices for items that are below inventory levels, accommodating the anticipation of incoming products. However, this flexibility vanishes when dealing with tracked items. For such items, Business Central mandates the specification of a lot number, which becomes a problem if the items haven't been received yet, as there are no lot numbers to specify. Trying to manually input a lot number results in errors such as "Item tracking cannot be fully applied," preventing the transaction.

 

Why This Happens

Business Central is designed to ensure accurate tracking and inventory management, which includes preventing sales of items that are not physically confirmed in stock when they require tracking. This system prevents potential issues like selling stock that never arrives or discrepancies between physical and recorded stock levels.

 

Potential Workarounds

Allow Negative Inventory for Non-Tracked Items: For items that do not require tracking, you can enable negative inventory. This allows you to sell items in anticipation of their arrival without needing to specify tracking information.

 

Modify Item Tracking Codes: For items that are tracked, one workaround could be to adjust the item tracking setup to bypass the requirement for lot information upon sale. This should only be used with careful consideration.

Selling below inventory levels presents a challenge in Business Central, especially when dealing with tracked items. While the system's constraints are designed to safeguard inventory accuracy, they can occasionally hinder operational flexibility. Businesses must weigh the risks and benefits of the available workarounds and consider their unique operational needs and compliance requirements.
